Through Oneteam's onboarding module, you can introduce new employees to your organization in a fun and accessible way. You can tell something about, for example, the history of your company, important internal rules or about the organization’s expectation of how employees interact with the Oneteam app. Check out the tutorial underneath for an explanation on how this works:
Organization admins set up the onboarding package through Oneteam's dashboard. New employees follow the onboarding package on their (mobile) app. You can make this onboarding module mandatory or optional for new employees.
Setup
Below you can find an example of how Oneteam is set up. You can add a second category with, for example, “Working at Oneteam”. Here you can find information about the department you are working in.
Customize the onboarding process based on community or function. You can filter the onboarding categories by location, function, language and add specific employees. You can create an onboarding module for each community and specifically, all vendors or some other function group.
In the onboarding module, it is possible to create a “Content module” and a “Quiz module”. In addition, at the bottom of the article, we will give you the opportunity to view some examples of onboarding modules that are most often used at Oneteam. Before diving in, it's good to know an onboarding program can be duplicated.
Create the Course
Once you are logged into the organization dashboard, click on "Academy" in the menu on the left. Here you will be given the choice of creating a Course or an E-Learning. Click on “Onboarding” and choose “+ Add course”. You can give the onboarding package an image, a name, and a description.
Afterwards, you will have the option to create a “Content module” or “Quiz module” (see the picture below). First, we will explain how to create a “Content module”. Further on in the article, we explain how to create a “Quiz module”.
Content module
After selecting "Choose content module", you can create the welcome package. First, give the module an appropriate name before you save it. Only after this is it possible to add screens that the package should consist of.
Click “Add your first screen” (or “+ Add screen”) and select the component you want to start with:
It is possible to just enter text, but you can also add a video (or YouTube link), image, and PDF file. As soon as you add text or other components, you will immediately see a preview on the left side of the screen. After completing the first screen, click “Save and close”, “Save” again, and then “Back” to create a second screen.
Once you have created the desired screens, it is important to check the following:
Verify that all screens are set to “Active”;
Give the module a point number: this of course also depends on the other modules in this learning package and the weight given to them;
Select the estimated duration of this module to properly manage the employee’s expectations.
Then click “Save” and “Back” to go to the overview of this learning package. Select the “Phasing” and “Target group” as shown in the screen below. By clicking on “Phasing”, you can show this specific learning package to the employee a few days after invitation. Push notifications will also be sent to these employees. Under “Target group”, you can apply filters for which specific employees this learning package is intended for. For example, you can have all new cashiers from all locations (or specific ones) go through this package.
Quiz module
The “Quiz module” is created in the same way as the “Content module”. The only difference here is that you can add questions and answer choices, as shown in the screen below:
The remaining steps are the same as for creating a content module.
Hints
If the question is too difficult for the employee, you can add a hint for extra assistance. When the employee presses the "Hint" button, additional information pops up and can help them select the correct answer.
A hint can only contain text.
On the app it looks like this:
Feedback
With the feedback functionality, you have the ability to provide additional information explaining why the question was right or wrong. You have the option here to provide feedback in the form of text, image, video or a PDF. In our example, we selected the text component:
On the app it will look like this:
Once you have completed the quiz module, you can still specify whether employees can see the correct answers at the end of the quiz.
