How do I invite colleagues to the app and what do the statistics mean to me?

As a community admin, you have the ability to manage your colleagues in the web version of Oneteam and in the app. We will cover these possibilities in both versions of Oneteam below. Check out the tutorial to find out how you can manage your colleagues within the community:

Manage colleagues on the web version:

Once you are logged into the web version of Oneteam, you can click on the “Colleagues” option on the left. You will then see the screen below:

Under “Colleagues”, you can invite employees and you can see which employees are active, inactive and not yet signed in. For convenience, we will first explain exactly what this means:

Active

An employee is on “Active” if they logged into the platform last week.

Inactive

An employee is set to “Inactive” if they have not logged into the platform for more than one week.

Not logged in:

An employee hasn't downloaded the app yet, you can send them an invitation again by clicking on the three vertical dots and 'send invitation;.

Not invited:

This is only possible when you have imported a list of employees and didn't chose to invite them yet. You can invite them whenever you feel ready they should enter the app.

Access requests:

Employees are able to scan de QR code, or go to the provided link, to manage the admission process themselves. Requests are to be found there and can be accepted or declined by you as a community admin.

Add and remove colleagues on the web version:

There are two ways to invite colleagues:

1. Your organization has a WFM link:

Each night, synchronization takes place with your WFM system. Make sure that everything in your WFM system is correct. The data from your WFM system are leading. This means that changes you make in Oneteam, can also be undone because it is not implemented in the WFM system.

2. Your organization does not have a WFM link (manual invitation):

If your organization does not have a WFM link, you can add and/or remove an employee yourself as a community admin. When personnel management is arranged centrally through the head office, do not forget to pass on changes.

Invite employees manually:

Click on the “+ Invite employee” button on the top right of the screen. The following screen will be visible:

Fill in the required information and under “Functions and “Community groups, choose the appropriate options for the new employee. This ensures that this employee will immediately be placed in the correct groups and will therefore receive the correct information on the timeline. Then click on “Optional”. Enter the unique identifier here. This is usually the employee number, and you should assign it if you did so during the .csv import. Then click on “Rights if you want to give this new employee a specific role within the community they will be joining.

Select a created role for this employee here, if desired. These roles can only be created by an organization admin. Click here to see how this works.

Then click on “Invite and the employee will receive an email with login details to access Oneteam.

Delete employee

To delete an employee, click on “Actions” next to the employee in question. This will enable you to edit and view the information of this employee. You can also send the Oneteam invitation (again) and as a final option, you can delete this employee.

Please note that when interfacing with a WFM system, this does not make sense, the employee will be back in the app during synchronization. In this case, you will need to delete the employee in the WFM system. The same applies to changes in the email address.

Frequently asked questions about colleagues

  • My colleague cannot log in anymore and gets a message saying they are not a member of a community anymore.

In the web version, under “Colleagues”, check that the correct community is ticked for this employee. When interfacing with a WFM system, you should check the selected community there. If an adjustment is made, this will be automatically updated during synchronization.

  • My colleague forgot the password for Oneteam.

You can click the “Forgot your password?” button on the Oneteam login screen. An email with a new temporary password will automatically be sent. The username does not change in this process. If this email does not arrive, please send a request for a new password (including username, organization name, and first name/surname) to our help desk.

  • How do I remove an employee from a WFM link?

Oneteam is linked to the WFM system. This means that if an employee is removed from the WFM system, they will automatically be removed in Oneteam.

  • How do I re-invite an employee to Oneteam?

You can resend an invitation to a new colleague under “Colleagues” by going to “Actions” and clicking “Resend invitation”.
