Oneteam’s Flexchange functionality allows employees within a community to offer a shift for exchange, which another employee can take over. This removes the need for employees to coordinate among themselves and then seek approval from an administrator.

How do I offer a shift?

How does taking over a shift work?

When a shift is available for takeover, the selected employees receive a notification (if their notifications are enabled). They have the option to accept the shift. Once an employee accepts the shift, the community administrator receives a notification to approve or decline the takeover.

Why does my colleague see more shifts than I do? (For organizations using PMT)

If your organization works with PMT, the system determines which employees receive shift exchange requests. PMT follows the collective labor agreement rules set for employees and automatically generates a list of eligible employees who can take over the shift. This means you cannot manually select which groups the shift request is sent to.

How does Flexchange work in organizations using Bork?

If your organization works with Bork, you can specify which positions should receive the shift request. More details on this process can be found in this article. Once an administrator approves the shift takeover, the update is automatically reflected in the schedule within Bork.

Why can’t I see any shifts in my department?

If you cannot see any available shifts, check your assigned positions in the Oneteam app. If necessary, ask the shift planner which positions the shift request was sent to. It is possible that the request was simply not assigned to a position you are a member of.

Are shift exchange requests automatically updated in my schedule?

No, shift exchange requests are not automatically processed in the schedule. An administrator must approve the shift takeover before it is finalized.
