Notes in user profiles

With notes, admins can capture and view information in user profiles.

Viewing notes

  • Admins with Employee management (organization-wide) or Colleague management (community-specific) can view notes in a user’s profile.

  • Employees can view notes in their own profile.

  • The profile contains a “Notes” tab:

    • Empty if there are no notes yet.

    • Displays all notes the user has access to.

Visibility per note

  • Shared with employee → visible to the employee.

  • Visible to all admins.

  • Only visible to me → only visible to the creator.


​Each note shows:

  • Text and any attachments.

  • Creator of the note.

  • Date of creation.

  • Visibility setting.

Adding notes (admins only)

Admins with Employee management or Colleague management can add notes in a user profile.

A note consists of:

  • Text.

  • Optional attachments.

When adding a note, you choose the visibility:

  • Employee.

  • All admins.

  • Only me.

Deleting notes (admins only)

Admins who can create notes can also delete them.

  • Within 1 hour of creation → the note is permanently deleted.

  • After 1 hour → the note is soft deleted:

    • Text and attachments are removed.

    • The note remains visible with the message: “Deleted by [FULL NAME]”.

    • Metadata such as deleted_on and deleted_by remain visible.


What can you do with notes?

Notes give you a way to keep important context in one place. For example:

  • Practical reminders → e.g. agreements made with an employee.

  • Observations → feedback on collaboration, customer contact, or results.

  • Additional information → details that don’t belong in other systems, but are useful for fellow admins.

  • Performance support → notes can serve as reminders for conversations or evaluations.

Notes are especially useful when you need quick context in the user profile. You don’t have to switch between separate documents or emails.
