Onboarding

In this article, we explain how to create, set up and manage an Onboarding course, so you can onboard new employees in a fun and low-threshold way.

With the Onboarding course in Oneteam, you onboard new employees step by step. You can use it to share things like the history of your company, your most important house rules, or how you expect employees to use the Oneteam app.


Setup: tailored packages

Below you see an example of how a Welcome package is built up. You can add a second category, for example 'Working at Oneteam', with information about the department you work in.

You can fully tailor the onboarding journey to community or role. The categories can be filtered by both location and role. This means you can create a separate Welcome package for each community, or a package that is only visible to all sales staff, for example.

Within an Onboarding package you work with two types of modules: a content module and a quiz module. We explain both below.


Creating the Onboarding course

Follow these steps to create a new Onboarding manually:

  1. Log in to Oneteam and go to the organisation dashboard, then click Academy in the menu on the left.

  2. The Onboarding screen opens right away. Then click Create course +.

  3. Choose Manually create course (but you can also generate a course using AI)

  4. Give the learning package an image, a name and a description.

  5. Click New and then create an content module or a quiz module.

The content module

In an explanation module you share information with your new employees. Here is how to set it up:

  • Give the module a clear name.

  • Select the estimated time an employee will spend on the module, so you manage expectations well.

  • Assign a number of points. Base this on the other modules in the package and the weight you want to give it.

  • Click + Add screen and choose the component you want to start with.

You can choose from the following components:

  • Text: to share information in your own words.

  • Video: your own video or a YouTube link.

  • Image: to make the module more visual.

  • PDF file: for example a handbook or house rules.

As soon as you add a component, you immediately see a preview on the right of how it will look for the employee.

Important: make sure you switch all screens from Draft to Live. You manage this through a dropdown menu. Orange means draft, green means live. Only active screens are visible to employees.

The quiz module

You create the quiz module in the same way as the content module. The difference is that here you can add different question types to test your employees' knowledge. The remaining steps and settings work the same as for the explanation module.

Hints (optional). Is a question tricky? Add a hint as extra support. A hint can only contain text. When the employee taps the Hint button, the extra information appears in a pop-up.

Feedback (optional). With feedback you give extra explanation about why an answer was right or wrong. You can do this with text, an image, a video or a PDF, and you can combine these too.

Settings of the onboarding course

Under Settings you can configure the following:

  • Phasing: only show this learning package a number of days after the invitation.

  • Capture feedback: enabled by default, but you can turn it off.

  • Notifications: set whether employees receive a notification when the Welcome package goes live.

  • Audience: apply filters for who the learning package is meant for, for example a specific community (location) or role.

Viewing progress and feedback

Under Statistics you see the status and progress of the Onboarding course per employee. Under Feedback you find all collected feedback. Use the Summarize with AI button to get a quick overview.


Frequently asked questions about the Onboarding

Is an Onboarding course mandatory for new employees?

That is up to you. You can make a Welcome package mandatory or optional. With a mandatory package, we prompt employees more actively to complete it.

How long does an Onboarding course stay visible in the hub?

An onboarding course does not stay in the hub indefinitely. If an employee does not complete the package, it automatically disappears after twice the set deadline period. Example: if the deadline is set to 30 days, the package automatically disappears from the hub after 60 days. This keeps the overview up to date for your employees.

Why can't my employees see a module or screen?

Check that all screens are set to Live (green) and not Draft (orange). Only live screens are visible in the app.

Can I reuse an existing Onboarding course?

Yes. Onboarding courses can be duplicated and moved, so you never have to start from scratch.
