In this article, we explain what the process from the beginning to launch might look like for your organisation. We recommend that you use this article as a basis during this process.
The process from the beginning to launch
For every organisation, the process of getting started with Oneteam can be just a little bit different. Generally, though, the steps below are followed to successfully and quickly launch the app.
Import employees (through integration or manually)
Create organisation- and community groups
Create Academy modules and surveys (optional)
Create Forms & Checklists (optional)
Upload important documents
Introduce Oneteam to users
Launch Oneteam!

Steps
1. Import employees (through integration WFM system or CSV)
If you do not have a link to a WFM system, then you can invite employees manually (via a .csv file). We advise users to do this right away, so you're able to import users in the platform without inviting them yet, enabling you with the opportunity to already create the appropriate groups and to place a welcome message. Click on the button below.
If a link does need to be made between Oneteam and a WFM system, then all employees can be automatically uploaded. When employees are invited, they will receive an email from Oneteam with their login details.

💡Note: Communities and functions are created automatically when employees are imported via an integration with a WFM system.
2. Create organization- and community groups
You can create two types of groups. Organization groups are groups that are not specific to a community/location. Here you can share information with specific groups (or everyone) within the organization. You can think of specific groups for, for example, location managers, social media/marketing communications, coffee talk or general company news. Community groups allow you to create groups within your community, often based on function or on a manual selection. These community groups can also be created by a community admin. Click on the button below to learn more about community groups.
💡 Tip: create your own look and feel by setting your logo, colors, background image and shortcuts. Read more about all the settings for your organization.
3. Create Academy modules and surveys (optional)
Within the Academy, you can create onboarding modules for new employees, so that they are properly and quickly inducted. You can also create e-learning modules to inform employees (explanation module) and test employees on their knowledge through a quiz (quiz module). Employee engagement, loyalty and happiness are becoming more important factors in todays labour market. This is why measuring these topics and getting employee feedback are vital for the health of your organization and its turnover. Our Survey feature enables you to measure this (and more) by sending questionnaires to your employees. You can choose who you would like to send the survey to (and when) by using the filters. Afterwards you (as an organization admin) can analyse the results and draw conclusions easily with the statistics Oneteam shows. Click on the button below to learn more about Surveys.
4. Create Forms & Checklists (optional)
With the 'Forms' functionality you are able to standardize all kinds of information flows and to make work processes more efficient. You have a direct overview of all submitted forms, you can add statuses and you can export or send the results to other HR systems.
These functionalities also contain more than thirty templates to use so that you can get started right away. Consider, for example, a 'Ask HR', 'Report Incident' and 'Travel Expenses' form. You could also manage forms about requesting work clothes, vacation days and parental leave via this function. Click on the button underneath to find more information about this feature.
5. Upload important documents
With the "My Documents" feature, you as an organization- and community administrator or community administrator, have the option of creating and organizing important files in specific folders, based on communities or functions as desired.
6. Introduce Oneteam to users
Of course you want your employees to be informed about what is going to change specifically for them. This is why it is important to create an introduction plan. You can post a welcome message on the communities’ timelines and share a brief explanation of Oneteam. 7. Launch Oneteam
When everything is ready, and the employees are aware of the arrival of the Oneteam app, you can invite the employees. You can do this by sending a bulk invitation to all the members who are 'not logged in". If you work with a WFM link, please contact us via our live chat so we can set up the integration before the launch. When employees are invited, they will receive an email from Oneteam with their login details.

Other steps
Training for organization admins
Of course, in order to optimize usage of the Oneteam app, it is important that all admins know how to use the platform properly. We have specific tips and tricks as to what types of messages you can send to increase engagement, as well as more information on what will change for other employees. Create and assign administrator roles
In our roles and permissions system, you are in control of which roles and permissions an employee or administrator are assigned to. The most common roles are those of organization administrator and community administrator. An organization administrator has access to the functionalities within the organization dashboard and a community administrator has specific rights within his or her community.
Additionally, as an organization administrator, you can give someone the rights to only manage the Academy in the organization dashboard, or rights to only manage the roster within a community.Click the button below to learn more about managing administrator roles.
