Creating recurring events

In this article we explain how to make an event repeat automatically and how to manage a series afterwards.

Do you organise the same team meeting every week, or a social every month? With a recurring event you create that whole series in one go, instead of creating every event separately. All events in the series get the same name, description, location, duration, audience and settings. Only the date is different.

Creating a recurring event

  1. Create a new event and fill in the details as usual.

  2. Turn on the repeat option and choose how often the event comes back.

  3. Set when the series should stop.

  4. Save the event as a draft or set it live. All events in the series get the same status.

Important: you only set the repeat pattern when creating the event. You cannot change it afterwards. If you do not use the repeat option, you simply create a single event as usual.

The repeat options

You decide how many days, weeks, months or years there are between each event:

  • Day: the event comes back every day, or for example every two days.

  • Week: choose on which days of the week the event takes place. You select at least one day. By default, the weekday of the start date is selected.

  • Month: choose whether the event returns on the same day of the month, for example every 15th, or on the same weekday, for example every third Tuesday.

  • Year: the event comes back every year on the same date.

When does the series stop?

A series does not run on forever. You choose one of these two options:

  • Ends on: set a date after which no more events follow.

  • Ends after: set how many events you want in the series.

A series contains a maximum of 365 events. If your setting would create more than that, you cannot save the event. Choose a shorter period or a lower frequency instead.

What happens after you save?

  • All events in the series are created straight away and appear in the overview and in the calendar.

  • Each event works like a normal event. Employees indicate per event whether they are attending, and the reminders work per event.

  • The announcement of a new event is sent once for the whole series, not for every single event. So employees are not flooded with notifications.

Editing a recurring event

Open the event you want to change and edit it as usual. As soon as you save, we ask which events you want to update:

  • This event only: you only change this single event in the series.

  • This and following events: you change this event and all events that come after it.

  • All events: you change the entire series, including the events that have already taken place.

You can change the name, description, location, start and end time, audience and settings. The repeat pattern itself and the dates of the series are fixed.

Cancelling or deleting a recurring event

Cancelling and deleting work in the same way. Here too you choose whether you want to cancel or delete this event only, this and the following events, or the entire series. The remaining events in the series stay linked to each other.

Do you want to use one event from the series as a starting point for something new? Duplicate it. You will get a single draft event, not a copy of the whole series.
