Asking for a reason when someone can't attend an event

In this article, we explain how to let employees say why they can't attend an event.

Sometimes you want to know why someone isn't coming, for example to see whether a date doesn't work well. With the absence reason option, you ask this right when they decline.

Making the reason mandatory

  1. Create an event or open an existing event to edit it.

  2. Go to Settings and find the Guest list section.

  3. Check [Require decline reason when user says not going].

  4. Save the event.

This option is off by default. You can't turn it on if the guest list is disabled.

What do employees see?
When an employee taps Not going, a screen appears where they enter a reason. This field is mandatory. The reason they entered is then shown under the button. If the employee later chooses Going after all, the reason disappears. If the option is off, declining works as usual.

Where do you see the reason?
In the list of employees who are not attending, you can see the reason for each person. On web, it appears in its own column; in the app, it appears under the person's name. Only admins with permissions for the event can see the reason. Other employees only see who isn't attending.
