Zapier is an online tool that connects apps to each other, with no code. You use it to build automations, which Zapier calls Zaps. A Zap starts with a trigger: something that happens, such as a submitted form or a new row in a spreadsheet. One or more actions follow: what should happen next, automatically.
With the Oneteam app in Zapier, Oneteam can be the trigger, the action, or both. That means Oneteam can work with the tools you already use, such as Microsoft Teams, Slack, Outlook, Gmail, and Google Sheets. You can also chain steps inside Oneteam, so HR and managers spend less time on routine work.
A few examples of what you can do:
An employee reports a broken fridge through a form. The site manager immediately gets a task and a chat message with all the details.
A new starter logs in for the first time and automatically gets a welcome message and an onboarding task.
Agency workers you add to your staffing sheet get an Oneteam invite automatically, straight into the right site and role.
A completed food-safety course is logged in your compliance overview automatically.
Who build the Zaps?
Oneteam provides the Zapier integration and a set of templates to get you started. As an admin, you build and manage the Zaps yourself in your own Zapier account. That way you decide which processes to automate, and how.
The integration costs nothing extra on the Oneteam side. Depending on how much you automate, you may need a paid Zapier plan.
What you can do with it
There are roughly three ways to use Oneteam in a Zap. You can also combine them in a single Zap.
Inside Oneteam
A maintenance report, near-miss, or uniform request becomes a task for the site manager, with a chat message alongside it. The submission is set to Pending right away.
On someone's first login, send a welcome message and a task to finish onboarding.
When someone completes the allergen, food-safety, or first-aid course, their manager gets a message.
When a birthday, work anniversary, or contract end date is coming up, the manager gets a task or a message in good time.
From Oneteam to other tools
A maintenance report also lands in the area manager's Teams or Slack channel, or as a row in your quality log in Google Sheets.
Completed courses are tracked automatically in a compliance sheet.
When an employee is deactivated or a contract ends, HR gets an email to remove access to other systems or renew the contract.
From other tools to Oneteam
New agency or seasonal workers in your staffing sheet get an invite, straight into the right community and role. In Oneteam, a community is usually a site or location.
A product recall or new work instruction from an email becomes an organisation post on the timeline, marked as important.
When facilities closes a ticket in their own system, the report in Oneteam is set to Processed and the site manager gets a message. The ticket does need to include the Oneteam submission ID.
Zapier does not replace your HR or payroll integration. Your employee records stay in sync through integrations such as Loket, AFAS, and Nmbrs, and rosters through your scheduling integration. Zapier is for everything around that: alerts, tasks, messages, and invites.
Zapier or n8n?
Oneteam works with both Zapier and n8n. Zapier is the quickest way to get started, especially if you already use it or do not have a technical background. n8n is a better fit if you want to run your automations on your own server, expect a high volume, or also want to pull data out, such as onboarding and course progress. n8n can also create recurring tasks and tasks for a whole group. Read more in Connect Oneteam to n8n.
What you need
Admin rights in Oneteam, so you can create an API key.
A Zapier account.
A clear idea of the process you want to automate. Start small, for example with a single form.
Step 1: create an API key in Oneteam
Zapier talks to Oneteam through an API key. The key belongs to your organisation, not to a person, and it controls what Zapier is allowed to do.
1. In the dashboard, go to Settings and open API keys.
2. Click Create API key.
3. Give the key a recognisable Name, for example Zapier.
4. Under Scopes, select only what your Zaps need. The table below shows which scope goes with which step.
5. Click Create and copy the key. It starts with sa_.
You only see the key once. Keep it in a password manager and do not share it over chat or email. If you lose it, or it leaks, revoke it under API keys and create a new one.
What do you want to do? | Scope |
React to events in Oneteam | Manage webhooks |
Use the answers from a form | View form reports |
Invite employees | Create employees |
Change a profile, community, role, or team | Manage employees |
Change the status of a form submission | Update form responses |
Create a task | Create tasks |
Change the status of a task | Update tasks |
Post an organisation message | Create messages |
Send a push notification | Send notifications |
Send a chat message | Send chat messages |
So a Zap that turns a form into a task and a chat message needs Manage webhooks, View form reports, Create tasks, and Send chat messages. If you also want to change the submission status, add Update form responses.
Chat messages are sent on behalf of the admin who created the API key. If you want messages to come from HR or a shared account, create the key with that account.
This is what the page looks like. The keys and the organisation name are hidden.
Step 2: connect Oneteam in Zapier
1. Sign in at zapier.com and click Create, then Zap.
2. Does your Zap start in Oneteam? Search for Oneteam as the trigger. Does it start in another tool, such as Google Sheets? Pick that as the trigger and add Oneteam as an action after it.
3. Zapier asks you to connect an account. Paste the API key into the API Key field.
4. Zapier checks the key and names the connection after your organisation.
Step 3: build your Zap
Start by picking the trigger, for example New Form Submission in Oneteam or New Spreadsheet Row in Google Sheets. Then add one or more actions, such as Create Task or Send Chat Message in Oneteam, or a message in Teams. In every field you can insert data from an earlier step, such as a name, an email address, or a form answer.
For forms and courses, you can pick one specific form or course. Leave the field empty and the Zap reacts to all of them.
You cannot look up an employee by name in Zapier. Use the email address, User ID, or External ID from an earlier step instead.
As soon as you turn the Zap on, Zapier sets up the connection with Oneteam itself. Under Settings > Webhooks you will see a Zapier row appear for each event. You do not need to create these yourself. To send events to your own system, read Using webhooks in Oneteam.
Triggers from Onteam
These events can start a Zap in Oneteam. New Form Submission also sends the answers, so you can put them in a task, a message, or a sheet.
Trigger | When |
New Form Submission | A form was submitted. You can pick one form. |
New Employee | An employee was invited. |
Employee Created | An account was created. |
Employee Activated | An employee logs in for the first time. |
Employee Updated | An employee's profile changed. |
Employee Deactivated | An employee was deactivated. |
Onboarding Completed | An employee finished onboarding. |
Employee Added / Removed From Network, Function, Team | An employee was added to or removed from a community, role, or team. |
Course Completed | An employee completed a course. |
Task Created / Task Assigned | A task was created or assigned. |
Work Anniversary Approaching | 30, 7, or 0 days before a work anniversary. |
Birthday Approaching | 30, 7, or 0 days before a birthday. |
Contract Ending | 30, 7, or 1 day before a contract ends. |
For privacy reasons, there is no trigger for anonymising an employee.
Actions in Oneteam
You can add these actions after any trigger, whether it comes from Oneteam or another tool.
Action | What it does |
Invite Employee | Invites an employee by name and email address, and optionally community, role, language, and External ID. |
Update Employee | Updates profile details, such as name, email address, phone number, dates, and External ID. |
Add or Remove Employee From Network, Function, Team | Adds an employee to a community, role, or team, or removes them. |
Create Organization Message | Posts an organisation message on the timeline, optionally marked as important or scheduled. |
Create Task | Creates a one-off task for one employee, with a title, start time, and deadline. |
Update Task Status | Sets a task to a review status, such as In review, Approved, or Rejected. |
Update Form Submission Status | Changes the status of a form submission. |
Send Push Notification | Sends a push notification to one employee. |
Send Chat Message | Sends a chat message to one employee. Attachments must already be a file in Oneteam. |
Example: a maintenance report becomes a task and a chat message
An employee uses the Maintenance form to report that the fridge has stopped working. The site manager immediately gets a task and a chat message with all the details, and the report is set to Pending.
1. Create a new Zap and pick Oneteam with New Form Submission as the trigger. Select the maintenance form.
2. Connect an API key with the scopes Manage webhooks, View form reports, Create tasks, Send chat messages, and Update form responses.
3. Test the trigger. Zapier needs a sample, so submit the form once yourself if there isn't one yet.
4. Add the Create Task action. Enter the site manager's email address and use something like 'Maintenance:' followed by the first answer as the title.
5. Add the Send Chat Message action, to the same email address, with the form answers in the message.
6. Add the Update Form Submission Status action. Use the submission ID from the trigger and pick the Pending status.
7. Test the actions, publish the Zap, and turn it on.
Is the form anonymous? Then the submitter stays empty, but the answers still come through. Want the report in Teams or Slack too, or as a row in Google Sheets? Just add another action to the same Zap.
Example: An invite from the staffing sheet
Every week you add new agency and seasonal workers to a Google Sheet, with first name, last name, email address, site, and role. With this Zap they get an Oneteam invite automatically.
1. Pick Google Sheets with New Spreadsheet Row as the trigger and select your sheet.
2. Add the Invite Employee action and map the columns to first name, last name, email address, community, and role.
3. Use an API key with the Create employees scope. If you also assign a community or role, add Manage employees.
4. Test with one row, publish the Zap, and turn it on.
The community and role must already exist in Oneteam, with exactly the same name as in the sheet. Zapier does not create them for you.
Want to welcome the new starter too? Create a second Zap with Employee Activated as the trigger and Send Chat Message as the action.
Testing and turning it on
Test trigger and Test action run a step once while you build the Zap. Only once you publish the Zap and switch it On does it run automatically, even when Zapier is closed. Your list of Zaps shows which ones are on and off.
Good to know
A push notification always goes to one person. To reach a whole site, post an organisation message on the timeline.
Create Task creates a one-off task for one employee. Recurring tasks and tasks for a group are created in Oneteam itself or through n8n.
Oneteam manages the fixed task statuses To-do, Submitted, and Expired itself. Through Zapier you can only set a review status, such as In review, Approved, or Rejected.
Documents, communities, teams, and roles are created in Oneteam, not through Zapier.
Reports, such as onboarding and course progress, survey results, and analytics, are pulled through n8n.
Only give an API key the scopes your Zaps actually need. You can change or revoke a key at any time.
What you see | What to do |
Oneteam is not in Zapier | Check that you are in the right Zapier workspace. Still can't find the app? Send us a message in the chat. |
The connection fails or you get a 401 error | Check that you pasted the whole key, that it starts with |
You get a 403 error | The key is missing a scope. The error message usually says which one. Add it to the API key in Oneteam. |
The Zap never starts | Is the Zap on? Is there a Zapier row under Webhooks? And did you pick the right form? |
The answers are missing | Add the View form reports scope to the key. |
The test finds no sample | Submit the form once yourself, or do the action in Oneteam, and test again. |
The chat message comes from the wrong person | Messages are sent on behalf of whoever created the API key. Create the key with the account that should send the messages. |
The community or role is not filled in | Check that the name matches Oneteam exactly and that the key has the Manage employees scope. |
