In this article, we explain how the platform works for organisation admins.

In this article, you can find more information about the organization dashboard and how it works in practice. We go through the different features within this dashboard. You can use this article to send to other organization administrators who need more information about our app.

Oneteam Introduction

In case (new) organization administrators have not worked with Oneteam before, you can use this article to briefly explain who we are and what we do.

The organization dashboard

You can think of the organization dashboard as the overarching system above the communities and other timelines available in the app. Here, you have many opportunities to communicate with employees within communities and organization groups.

Statistics

The first tab you see once you log in includes “Statistics”. Here you can find data regarding your employees, communication, and Flexchange.

First, statistics about your employees. As shown in the image below, here you can see how many employees have been invited, how many have actually registered (downloaded the app), and how many haven't downloaded the app yet. These data give us an adoption rate. This is the percentage representing how many employees are registered compared to the invited employees.

As you can see, you can also apply a filter, “All communities”, on the top right of the screen. You can also select specific communities to view their data. If you scroll down the screen slightly, you can filter by period and this selection will be displayed in graphs.

You have the same options with Communications. You will see the data as shown in the image below:

Here, you can see how many messages have been posted in the selected period, as well as the number of high fives (likes), reactions and sent chat messages. If you scroll down the screen slightly, you can filter by period and this selection will be displayed in graphs.

The final component of the statistics is Flexchange. You can see the number of shifts placed by employees, the number of shift takeovers, and the average time these shift takeovers took. This will give you more insight into how much time you saved thanks to these data. How Flexchange works is especially important for community admins and employees. Anyone within a community can post a shift that an employee, depending on who a shift proposal is sent to, can accept. The community administrator is always given the option to decline or accept this shift change.

Communication

The next tab covers "Communication" within the platform. There are two main topics: “Organisation messages” and “Organisation groups”. You can post in the name of your organization, which is called an "organization message”. This message is visible to all employees (all communities and functions) or specific communities and/or functions.

Organization groups are groups that do not specifically fall under one community/location. So, here you can share information with specific groups (or everyone) within the organization. Think of specific groups for store managers or theme-based groups such as coffee talks and general company news.

Academy

Within the Academy, we have a specific onboarding module to create an onboarding module for new employees. In addition, we can create short training sessions (eLearning modules) for all employees.

The Onboarding

In Onboarding, it is possible to inform employees about important topics at the start of their employment within your organization. Think of an introductory video from the manager, as well as sharing important internal rules and job-specific information. You can create onboarding modules for different, or all, communities and you can also specify on function level. It is common to create specific onboarding modules about the entire organization, the location/ community where one comes to work, and one’s function. You can send these courses to the new employee in "phases", so they do not have to go through everything on the first day. Employees can create the onboarding module only on their phones.

Elearning

Within our eLearning functionality, you can create short training courses for employees. Think about how to deal with new rules regarding shoppers, new items that will be on sale next week, or about the code of conduct in the Oneteam app. Within this functionality, as with the onboarding module, it is possible to filter by the target audience, so you can send specific training depending on the community or function that one has. In addition, it is also possible to have a set deadline for when the training should be completed. Employees will receive a notification as the deadline approaches.

Events

The Events feature allows you as an organisation admin and community admin to schedule a team get-together, offline training or other event. This event becomes visible to employees on the calendar within the app and even gets its own timeline and guest list (which you can export).

Surveys

With Oneteam, you can easily and effectively receive and analyze feedback from your employees. We have templates you can use to measure important issues such as employee engagement, satisfaction, loyalty and onboarding experience.

In addition to the templates, you can also create your own survey. The survey results will be summarized in an overview afterwards where you have the opportunity to export, compare and analyze the results. Click the button below to learn more about surveys.

Forms & Checklists

With this feature you're able to automate and standardize communication flows and turn inefficient manual tasks into a streamlined digital process. We offer a large variety of templates as well so you're able to create any form or checklist in seconds.

This feature also contain more than thirty templates to use so that you can get started right away. Consider, for example, a 'Ask HR', 'Report Incident' and 'Travel Expenses' form. You could also manage forms about requesting work clothes, vacation days and parental leave through this feature. Click on the button below to read more about this feature;

Document Management

With the "My Documents" feature, you as an organization administrator or community administrator, have the option of organizing important files in specific folders, based on communities or functions as desired.

When creating a folder, you have the option to give only specific communities and/or functions access to this folder. As an organisation administrator you have the possibility to select all communities here, whereas a community administrator can only select his or her own community. Employees, without an administrator role, do not have the possibility to upload files here. Click on the button below to read more about Document Management.

Employees

Under the “Employees” tab, you have the option to find more information about which employees are not yet signed in and/or are inactive/active.

Administrators

If you are an organization admin, you can also make current employees administrators of the organization and/or of a community.

In addition, you also have the option to give more specific rights to employees and administrators. For this purpose, you can create specific roles that you can automatically assign based on function.

Structure

To determine the Oneteam platform structure, we often recommend duplicating the current structure (organization chart) in the app. Simply put, you could also look at communication flows, so who should communicate with whom.

It is possible to create communities (often the locations or departments) and specific groups within these communities (for example the different teams and/or functions). In addition, you can create organization groups, which are groups that you can have to communicate with each other above the communities. Settings

The last tab in the organization dashboard enables you to customize the organization's settings. For example, you can customize the theme of the organization, by changing the main color but also the color of buttons and links in the app.

Additionally, it is possible to add a header image. Scroll down in the above screen to see an example of how users will see this.

Further options include customizing the organization language, if needed, and managing shortcuts. This is an important aspect of the app because it enables you to get all the information needed for the employees in Oneteam. For example, consider a shortcut with a link to the system where employees can find paychecks or request time-off.
